The "Licensor Statements" are what you send out to your Artists and Licensors informing them of what royalties they may or may not have due to them. This statement contains all information regarding sales and expenses along with advances and totals.
Note - This articles assumes that you have already set up your Releases, Licensors, Contracts In and In-putted Sales. If you have not done these steps please see the Knowledge Base links at the bottom of this article.
To generate Licensor statements complete the following steps -
1. Select "Royalty -> Licensor Statements -> Generate Licensor Statements" on your top menu
The "Generate Statements" screen gives you the option to generate statements from a "Single Contract" or a "Range of Contracts".
Single Contract : Statement Generation
1. Ensure the "Single Contract" tab is selected
2. Select the "Contract In" from the "Select Contract" drop down list
3. The "Contract To Date" will filter out Contracts that are newer than the date you enter here. We recommend you set this date to 1 month prior to your "Sales To Date" below.
4. Set the "Sales To Date" to the date you are accounting up to. (i.e. if you where accounting up the end of Dec you would pick 31/12/2012).
5. Click the "Run Statement" button.
Skip the "Range of Contracts" section below and continue this tutorial at Previewing & Running Your Statements.
The system will now generate a preview of the statements that will be generated for that contract. If you are happy with these please click Commit in the top right. They system will then generate the statements and these will appear in your Licensor Statement Listing, and be ready for checking and email out to your Licensor.
Range of Contracts : Statement Generation
Here you can customise the range of Contracts that will be selected by Licensor, Reference and Category.
1. Ensure the "Range of Contracts" tab is selected
2. Select a "Licensor" (If applicable)
3. Select the "Reference From" (If applicable)
4. Select the "Reference To" (If applicable)
5. Select a "Category" (If applicable)
6. The "Contract To Date" will filter out Contracts that are newer than the date you enter here. We recommend you set this date to 1 month prior to your "Sales To Date" below.
7. Set the "Sales To Date" to the date you are accounting up to. (i.e. if you where accounting up the end of Dec you would pick 31/12/2012).
8. Click the button "Run Statements"
Previewing & Running Your Statements
The system will now generate a preview of the batch of statements that will be generated. If you are happy with the batch and are sure no Contracts have been missed, click the "Commit" button.
Note - It is correct that the "Statement Share" value is blank on the Preview Screen
When you click "Commit" your statements will be generated and totals for these will populate the screen along wish a PDF link to download.
These statements will be permanently available from your "Licensor Statement Listing" screen. We strongly urge you to download your statements and review them all to ensure that the figures are as expected.
